Civil Customer Service

Functions:  The Civil Customer Section is responsible for receiving and processing all incoming customer requests in accordance with the Texas Rules of Court and Family Law. Our duties also include acting as custodian of records and fee officers for the District Clerk’s office. Providing copies, affidavits, computer print outs, JIMS reports and performing record searches for the general public, judiciary, bar and other governmental agencies. Assesses and collects fees for services provided.

Request for Certified Copies

Copies of our records can be obtained by: • Fax express- the customer may fax in a request for a copy. The form can be obtained from our website by going to www.hcdistrictclerk.com and clicking on forms. • E-Docs - Customers can obtain copies of records via e-docs. Go to our website and click on e-clerk. A credit card must be used to perform all transactions. • Mail in Request: All mail in requests should be sent to: THERESA CHANG, District Clerk P.O. BOX 4651 Houston, Texas 77210- 4651 Attention: Correspondence Money orders, cashier checks and checks should be made payable to: Harris County District Clerk • Walk in Customer.

Request for Exemplified Copies

Exemplified copies are $1.00 per page, including the exemplified page. Exemplified copies are usually requested when the copies are to be used in another state or country.

Prepare Affidavits of No Records

After a thorough records search that results in no record found, a customer may request an Affidavit of No Record that indicates there are no civil records on file with a specific court under a specific name.

Prepare Certificates of No Appeal

A Certificate of no Appeal is prepared when a customer wants proof the case has not been appealed to a higher court.

Update the Attorney Address Changes

Civil Customer Service is responsible for updating all attorney address changes that are submitted timely and without error. Attorneys who have been approved for e-Clerk are responsible for updating their information in the system.

Maintain and Process Copies of the Attorney Vacation Requests:

The Attorney Vacation Request is entered into the JIMS system, and then it is forwarded to Civil Customer Service for safekeeping and for providing the customers with copies upon request.

Prepare Name Change Certificates

A customer can request the clerk to prepare a Change of Name Certificate once the court grants the change of name under Sections 45.105 and 45.106 of the Texas Family Code only. The fee to prepare the Change of Name Certificate is $10.00.

Process Payments

Full and partial payments owed to the Harris County District Clerk Office are accepted in Civil Customer Service. (Extremely large payments should be made in our Finance Section).

Release of Bonds

Once the Court orders a bond released, the person receiving the bond must complete the Bond Release Form and file the original in Civil Customer Service. The original Bond Release Form will be attached to a certified copy of the bond and retained by this office. The original bond will be released to the customer.

Administrator for E-Docs

Civil Customer Service responds to or routes email from the e-Docs customers to the proper person for a response. Civil Customer Service will also, upon request from the customers, print and hold copies for pickup or print and mail copies to the customers.

Customer Service Coordinator

The Customer Service coordinator is responsible for ensuring that all customers are assisted in a timely and professional manner.

Maintain JIMS Reports for Public Inquiry and Purchase

It is the responsibility of the Customer Service Coordinator to promptly and properly display all Civil JIMS Reports for the general public to examine or purchase.
